Job Description

The Associate Director for Alumni Board Relations and Development manages all aspects of the Alumni Engagement and Annual Giving board meetings including planning and organizing committee and full board meetings. Works with various members of the UCF Advancement team to coordinate all logistics for meetings and serves as backup to the UCF Foundation Board liaison. Contracts with vendors, invites guest speakers and coordinates the production and timely distribution of materials to board and committee members.

Designs, implements, and manages a comprehensive proactive development plan for current and past alumni board members including coordinating with prospect managers and directing activities related to obtaining monetary support.

Manages and stewards alumni board member relationships to ensure members are fully engaged and well informed.

Manages all aspects of the alumni board meetings including planning and organizing committee and full board meetings. Works with various members of staff to coordinate all logistics. Contracts with vendors, invites guest speakers and coordinates the production and timely distribution of materials to board members.

Responds to inquiries by board members, tactfully and effectively answering questions and providing information as as requested.

Manages the budget and operational
expenses and provides immediate oversight of daily board business operations and activities.

Plans and implements education programs and cultivation events and activities for the board.

Assists the Senior Associate Vice President in reviewing and executing the strategic direction of the Alumni Board and provides strategic direction regarding board membership, involvement, philanthropic participation and bylaws. Maintains the official records of the Alumni Board to ensure compliance with federal, state and local regulations.

Oversees that meeting minutes are properly recorded and formally reviewed to create official meeting records. Serves as historian and expert reference as issues and questions arise.

Develops and manages a process for tracking board member and committee assignments and serves as a resource to members on choosing board assignments.

Oversees the preparation of special recognition and gifts for the board.

Prioritizes action items for the Senior Associate Vice President, including responses to inquiries by board members; responds on behalf of Senior Associate Vice President appropriately.

Drafts policy papers and scripts on behalf of the Senior Associate Vice President.

Updates biographic, demographic and preference data for the Board in Raiser’s Edge.

Responsible for the maintenance and updating of the Board portal and the Board of Directors section of the website.

Maintains an inventory of Alumni Board prospects and performs solicitation and discovery research on unassigned current, prospective and past alumni board members.

Engages in special projects as assigned by the Senior Associate Vice President.

Assists in the the supervision of the Coordinator of Alumni Engagement and Annual Giving including maintenance of uninterrupted office coverage for Senior Associate Vice President during business hours.

Manages volunteers soliciting for philanthropic support who working with confidential information and senior leadership.

Minimum Qualifications

Master’s degree in an appropriate area of specialization and four years of appropriate experience; or a bachelor’s degree in an appropriate area of specialization and six years of appropriate experience.

Able to work frequent evenings. Ability to meet deadlines as established. Ability to be cooperative and communicate effectively with a variety of people. High level of interpersonal and organizational skills essential.
