Job Description

This position reports to and is under the general supervision of the Director of the Health Sciences Library; in addition, the main responsibility is to perform a variety of detailed and complex financial support duties which include budgets for library resources, travel for library staff, planning and long range annual budget projections. This position is also responsible for supporting library events to include focus group meetings, lunch and learns and fundraising activities as well as manages day to day operations to include staff leave requests, timesheets and sick leave forms, and scheduling OPS staff.

The management and financial reporting of the Library’s budget (70%) including:
-Procurement of all library resources, materials and supplies using the UCF Financials system and the COM online PAR system, working closely with ER Librarians to receive invoices and license agreements for electronic resources.
-Staff travel using the COM online TAR system, UCF Financials system for creating Travel PO’s, working with individual travelers when making travel arrangements, reservations and creating travel reimbursement vouchers upon return.
-Managing a University issued purchase card including reconciliation of charges.
-Financial data and analysis of library resources and yearly long range planning using Adaptive Planning Software.
-Weekly financial reporting to HS Library Director
-Attending monthly ACE meeting with COM Finance and Accounting staff
-Maintaining library budget spreadsheet for budget management and reporting

The planning and coordination of Library sponsored events (20%) including:
-Library focus group sessions
-Lunch and learns
-HSL Fall and Spring HSL Info Expo
-State Library Organizational meetings and symposiums
-Other Public Services events

Support of day to day operations (10%) including:
-Managing library staff leave requests, time sheets, periodic time sheet input, and OPS schedules
-Weekly staff meetings
-Support of mobile technology initiative including updating skills and knowledge of apps
-Assist with reference and interlibrary loan requests as needed

-Other duties as assigned.

Minimum Qualifications

Master’s degree in an appropriate area of specialization; or a bachelor’s degree in an appropriate area of specialization and two years of appropriate experience.

Additional Minimum Requirements

-Experience with ALEPH computer system, all Microsoft products like Word, Excel, and Powerpoint. Adobe Photoshop, PeopleSoft, Adaptive Planning Software, PAR, TARs and UCF Financials, PeopleSoft Payroll Processing
-Extensive familiarity with desktop computer (65%), laptop computer (5%), Apple iPad (20%), scanner/copier/printer (10%)
